Patient amount due and Guarantor amount due are different

    The balance on the guarantor view will show all the activity on the Guarantors account. Payments, Charge adjustments and Credit Adjustments are assigned to patients when they are entered into the ledger. This assignment depends on the ledger view at the time of posting. For example, if the ledger is open to patient view, then the payment, charge adjustment, or credit adjustment will be applied by default to that patient being viewed. However, if you are viewing a patients ledger from the Guarantor view, the default setting will be to assign the payment, charge adjustment or credit adjustment to the "Guarantor". This will result in a different ledger balance being displayed, depending on the view selected,  even when the patient and the guarantor are the same person and  there are no other dependents attached to the guarantor. 

    To correct the discrepancy:

    - Edit the payment, charge adjustment, or credit adjustment to assign it to the correct patient, not the guarantor

    - Delete the payment, charge adjustment, or credit adjustment and re-enter with the correct patient assignment

    - If the original entry is more than 120 days old, then an offsetting entry for the guarantor will need to be entered and then the payment, charge adjustment, or credit adjustment will need to be re-entered with the correct patient assignment, not guarantor

    Hi Leanne,

    In addition to what Ken said, if you think of the Guarantor View as a "family view" of the ledger it might help to make sense. Ascend does line item accounting so each patient has a balance. When viewing the ledger by patient, you are only looking at that particular patient's ledger transactions. This includes the balance. Switching to the Guarantor or "family" shows you all transactions for anyone that is attached to the Guarantor.

    Hi Hugo,

    The discrepancy results in a person not attaching a payment to a procedure. Ascend is line-item accounting, so all payments and procedures get credited to individual procedures. If someone does not do that, then the money gets put into a "holding" area. This allows for pre-payment of procedures, which get credited to the procedure and thus the provider after the procedure is completed. Most offices keep the ledger at the guarantor view, which allows them to credit payments to any individual or all family member's procedures at once.
